Paperwork Desk turns one sale record into every document a land sale needs, from the first receipt to the Deed of Assignment, on the developer’s own letterhead. Part of the Ampliora Estate Suite.
Every plot a developer sells creates a trail of paperwork: an offer letter, a contract of sale, a receipt for every payment, an acknowledgement letter, a statement of account, an allocation letter and finally a Deed of Assignment. In most offices, each one is made by copying last month’s Word file and typing over it.
That is where the errors creep in. A copied contract still carries the last buyer’s plot number. The amount in words says ₦12,050,000 while the figures say ₦12,500,000. A receipt goes out with last week’s date. Each mistake is small, but in a legal document it costs trust, and sometimes a lawyer’s letter.
The documents also take time. A buyer who has just paid waits days for a receipt, and a director signs papers nobody has checked twice. Developers told us they did not want new documents. They wanted their own documents, filled in correctly, the day the buyer pays.
We built Paperwork Desk, a document system for real estate developers. The team uploads the Word templates they already use, Paperwork Desk learns where each buyer’s details go, and from then on every sale fills in its own contract, receipts and letters. Every document is checked and approved before it goes out, sent by email as a tidy pack, and kept with its full history. For a new estate, AI reads a contract already signed on it and prepares the setup for a person to confirm.
We did not redesign anyone’s contracts. We sat with the sales and legal team, listed every document a sale produces and when it is needed, and agreed that their own Word files would stay the source of truth, letterhead, signatures and all.
When a template is uploaded, Paperwork Desk finds every blank, suggests what belongs in each one and shows a sample value. A template is only marked Ready when every blank is matched, and a test with a sample buyer shows the finished document, figures and words, before any real buyer sees it.
Documents are prepared automatically but never sent automatically. Each one waits to be reviewed and approved. If something changes, the document is made again as a new version, and the old one is archived so nobody sends the wrong copy.
Instead of five separate emails, documents go out as one pack in a sensible order, with a short line explaining each, and the buyer’s realtor copied. Packs such as a Welcome pack have their own message, which the team can edit and preview.
Setting up a new estate used to mean reading a long signed contract and rebuilding it as a template. Now AI reads a contract already signed on that estate, fills in most of the property details and prepares the estate’s contract template. Nothing goes live until a person has checked it, tested it and approved it.
Upload the Word files you already use. Blanks are found and matched for you, with a sample value beside each so you can see exactly what will appear.
A template shows as Ready only when every blank is matched. Wording that never changes can be set once and left alone.
Fill any template with a sample buyer and read the finished document, figures, amounts in words and layout, before it is used on a real sale.
Receipt, statement of account, acknowledgement letter, offer letter, contract of sale, allocation letter, survey plan and Deed of Assignment, all filled from the same sale.
When accounts confirms a payment, its receipt is prepared automatically and waits for approval, so a buyer can have it the same day.
Nothing reaches a buyer without a person approving it first. Each document shows whether it is waiting, approved or sent.
Making a document again creates a new version and archives older unsent copies. Replacing a template keeps the old one, so a wrong upload can be undone.
Several documents travel together in a sensible order with one line explaining each. The buyer’s realtor is copied automatically, never twice.
Every purchase, every payment and the running balance in one PDF, ready to download or email when a buyer asks how much they have paid.
Once a sale is fully paid, the allocation letter follows, and the Deed of Assignment is prepared as soon as the surveyor’s details are in.
For a new estate, AI reads a contract already signed on it and pre-fills the estate’s details and contract template. The estate stays Pending until someone tests and approves it.
Contracts can be restyled into the developer’s house layout without changing a single word of the legal text.
A sale is typed once. From that record Paperwork Desk prepares every document the buyer will need, on the developer’s own letterhead, with figures and words that match.
Staff review and approve instead of retyping, buyers get receipts and statements the day they ask, and a new estate goes live from its signed contract instead of a week of copying and checking.
