Instalment Tracker turns every instalment sale into a dated payment plan, shows who is paid, due or overdue at a glance, and lets buyers report payments from a private link. Part of the Ampliora Estate Suite.
Instalment plans are how most land in Nigeria is sold. They also turn a developer into a collections business. Plans live in an Excel sheet, payments arrive by transfer, and proof arrives as screenshots in a WhatsApp chat.
Most late payments are not refusals. The buyer simply forgot, and nobody reminded them in time. Because nobody can see at a glance who owes what today, a buyer is often three months behind before anyone notices. Some buyers get five reminders, others get none.
Then come the questions. “How much have I paid?” costs someone an afternoon of adding up receipts. Surcharges for longer plans, promotions and early payment deals are worked out by hand, and then argued about. Every one of these is a small leak, and together they cost real money and goodwill.
We built Instalment Tracker, a payment plan system for developers who sell on instalments. Every sale on a plan gets a dated schedule. Each instalment shows its status, one page shows every plan that needs attention, and a reminder with a private “report your payment” link goes out in one click. Only payments the accounts team has confirmed reduce a balance, and any buyer’s statement is a click away.
We mapped how a plan really works in the office: the deposit, the monthly amounts, what happens when someone pays half, or pays ahead, or pays late, and who is allowed to say a payment has arrived. Those answers became the rules the tracker follows.
Each instalment carries a plain status: Paid, Part paid, Overdue, Due today, Due soon or Upcoming. Payments are applied in order, so part payments and early payments sort themselves out, and nobody has to recalculate a plan by hand.
Each estate sets its own plan lengths and the surcharge for each, how interest is charged, any promotion and its dates, and whether interest is waived for paying early. A sale keeps the deal it was sold on, even after a promotion ends.
A reminder is one click, with the amount and due date filled in and wording the team can edit. The tracker logs each one and warns if the buyer was already reminded in the last three days, so nobody is chased twice.
Buyers can report a payment and upload proof from a private, time-limited link in their reminder, but a report never changes a balance. Only the accounts team can confirm a payment, one at a time or in bulk.
A deposit plus equal monthly instalments, with the first due date set by staff, created the moment an instalment sale is recorded.
Every instalment shows as Paid, Part paid, Overdue, Due today, Due soon or Upcoming, so the state of a plan is obvious at a glance.
One page lists every plan, filtered by needs attention, overdue, due in the next 7 days or due this month, with search. The dashboard shows what is overdue or due this week.
Payments are applied in order, so a part payment or an early payment lands on the right instalments without anyone doing the sums.
Each estate offers its own plan lengths, each with its own surcharge, added to the price before the plan is saved.
A percentage or fixed amount off between two dates, for all sizes or only some. Every sale keeps the deal it got.
Interest can be waived when the price is paid within a set window. Staff always confirm the choice, so it is never applied by accident.
An email with the amount and due date, logged against the plan, with a warning if the buyer was reminded in the last three days.
Each reminder carries a private link where the buyer can report a payment and upload proof without logging in. It still waits for accounts to confirm it.
Only confirmed payments count. The accounts team can confirm in bulk and export payments for any date range to a spreadsheet.
A PDF of every purchase, payment and running balance, ready when a buyer asks how much they have paid.
Full or partial refunds are requested, approved and paid with a reference. A full refund cancels the sale, returns the plot to stock and stops any unpaid commission.
The office can now see every plan’s state in one place, remind a buyer in one click and confirm payments with a clear trail. A buyer who forgets gets a polite reminder in time, not a call three months later.
Surcharges, promotions and early payment deals are applied the same way every time, so there is nothing to argue about, and a statement of account takes seconds instead of an afternoon.
Before anything is built, find out which leak is costing you most. It takes 2 minutes and it's free.
